Position: Specialist, Procurement & Business Operations

Job Purpose:
The Specialist, Procurement & Business Operations acts as the team’s business operations subject matter expert, ensuring all vendor and partner onboarding, legal agreements and financial processes are executed according to industry standards and SLAs are met and exceeded.
The Specialist, Procurement & Business Operations manages and maintains agreements related to all Events and Experiences and Marketing Partnerships team activities, ensuring all contracts and statements of work are accurately prepared, reviewed, and executed, contributing to the satisfaction of our artists, partners and vendors.
The Specialist, Procurement & Business Operations works collaboratively across the Events and Experiences and Marketing Partnerships teams along with internal teams and stakeholders, building relationships to support the execution of all team business operations.
Duties and Responsibilities:
- Collaborates with team partners, stakeholders, and internal Legal and Procurement teams to execute the full contract management lifecycle, developing, drafting, reviewing and executing contract documents including MSA’s, partnership agreements, production agreements, statements of work, releases, talent contracts and licensing.
- Processes 3rd party vendor and partner contracts and statements of work, ensuring reviews, approvals and execution per procurement and legal processes and requirements.
- Facilitates onboarding of new vendors and partners through the full onboarding cycle, ensuring the efficient completion of due diligence, cost comparisons, selection criteria, vendor profile creation and procurement system requirements.
- Manages the creation of Purchase Orders and ensures all vendor and partner invoices are processed and paid according to agreed-upon terms.
- Monitors and maintains contract templates and processes in alignment with industry standards and best practices through collaboration with team stakeholders and internal Legal and Procurement teams.
- Maintains a centralized tracking system for all Events & Experiences and Marketing Partnerships team partner and vendor contracts, ensuring all contracts are monitored and renewed according to term requirements and communicating contract status and updates to relevant stakeholders.
- Supports Events & Experiences and Marketing Partnership teams with financial processes, tracking and reporting for all in-market events and activations, ensuring revenue is collected, managed, tracked and reported in line with required financial processes and procedures.
- Leads fiscal year-end processing for all team purchase orders and contracts.
- Evaluates the needs of external and internal stakeholders and incorporates them into the team’s business rules, with the goal of improving operational management systems, processes and best practices.
- Assists the Manager, Events & Experiences Operations with the development of team operational policies & procedures to support effective execution across the team, identifying trends and assessing opportunities for increased operational efficiencies.
- Contributes to the development and implementation of operational and tactical plans to ensure the operational objectives within the team’s strategic goals are met and exceeded.
- Operates within an agile framework to manage tasks and deliverables.
Qualifications:
- Post-secondary education with 5+ years’ experience in Business Management or Operations, Entertainment/Event Management, or Operations Management.
- Highly experienced in procurement processes and contract management and negotiations.
- Highly interpersonal with proven experience building and enhancing partner relationships.
- Proven experience managing contracts and knowledge of contract law and the entertainment industry is an advantage.
- Customer-service orientation, bringing best-in-class support to team & WVC partners.
- Demonstrated ability in project management.
- Excellent written and verbal communication skills.
- Proven ability to analyze and understand contract terms.
- Entertainment industry knowledge of pricing and fee structures, payment terms, standard production terms and production risks/insurance knowledge.
- Ability to work independently and collaboratively in a fast-paced environment while meeting tight deadlines and managing multiple priorities in parallel.
- Strong attention to detail and demonstrated organizational, problem solving, collaboration and communication skills.
- Experience working in an Agile environment with Agile principles and practices considered an asset.
Working Conditions:
- In this role the Specialist, Procurement & Business Operations may be required, on an occasional basis, special working conditions that cover a range of circumstances from regular evening and weekend work, shift work, working outdoors, working with challenging clients and minimal travel is required.
