Position Overview:
Join the Mentorship Program Team at Mothers to Daughters (M2D) as a Program Administrative Assistant and play a vital role in supporting the smooth operation of our mentorship program. This volunteer position focuses on ensuring mentees and mentors have a seamless experience, from onboarding to ongoing participation in workshops and virtual events.
Key Responsibilities:
Onboarding Support:
- Assist in onboarding mentees into the mentorship program, ensuring they receive all necessary resources and information.
Administrative Tasks:
- Handle program-related administrative duties, including maintaining accurate records of mentee/mentor pairings and tracking their progress throughout the cohort.
- Take minutes during meetings and ensure action items are documented and followed up.
- Draft professional emails and communications related to the mentorship program.
Communication and Coordination:
- Act as the point of contact for mentors and mentees, facilitating smooth communication and addressing inquiries.
Resource Development:
- Assist in creating or organizing program resources such as guides, toolkits, or FAQs for mentors and mentees.
- Help develop email templates, meeting agendas, or workshop materials to streamline processes.
Presentation and Content Creation:
- Assist with creating slide decks for presentations and collaborative meetings.
- Maintain and organize program-related documents on the shared drive for easy accessibility.
- Support with internal reports or presentations on program performance.
- Collaborate on creating promotional videos or visual content to highlight the program’s impact.
Workshop and Event Support:
- Attend mentorship program workshops to provide logistical and participant management support.
- Support virtual workshop coordination, including technical setup and participant engagement.
Marketing and Social Media Support:
- Assist with drafting and organizing content for social media campaigns.
- Help prepare marketing materials and ensure alignment with program objectives.
Qualifications:
- Previous experience in administrative, program coordination, or content creation roles is an asset.
- Strong organizational and multitasking skills.
- Proficiency in using tools such as Google Workspace, Microsoft Office, and presentation software.
- Experience with social media platforms and drafting marketing content is an advantage.
- Excellent written and verbal communication skills.
- Ability to collaborate effectively in a team setting and work independently when required

- Strong attention to detail and organizational abilities.
- Effective communication skills for email drafting and social media content creation.
- Proficiency in creating visually appealing and professional presentations.
- Familiarity with maintaining shared drives and organizing digital files.
- Creativity in developing communications, social media and marketing campaign ideas.
- Adaptability to handle a variety of tasks and priorities.
Commitment
- Attend team meetings and key organizational events as required.
- Approximate time commitment: 5 hours per week
- Respond to email or Slack messages within 48 hours
