Job Title: Museum Administrative Assistant
Job Location: Remote
Compensation: No remuneration; Opportunity for co-op, capstones, volunteer, project placement, etc.

You will play a key role in maintaining and enhancing the presence of the online museum (https://chlavm.ca). This role presents an exciting opportunity for individuals seeking to contribute their administrative expertise within a vibrant museum environment. Applicants should demonstrate a strong background in administrative roles, excellent organizational skills, and proficiency in office software. Tasks and Responsibilities:

Provide comprehensive administrative support to museum directors, curators, and staff, including managing calendars, arranging appointments, and handling correspondence.

Assist in the planning and execution of museum events, exhibitions, and educational programs by coordinating logistics, preparing materials, and communicating with participants and vendors.

Maintain accurate records of museum inventory, acquisitions, loans, and collections, ensuring proper documentation and database management.

Collaborate with the finance department to assist in budget monitoring, expense tracking, and procurement processes related to museum operations.

Manage visitor services, including greeting guests, answering inquiries, handling ticketing or membership sales, and ensuring a positive visitor experience.

Assist in the coordination of volunteer programs, recruitment, and scheduling for museum-related activities.

Support administrative tasks such as drafting reports, preparing presentations, and contributing to grant applications and fundraising efforts.

Collaborate with other departments to ensure efficient cross-functional communication and coordination within the museum.

Assisting with the integration of various multimedia content for exhibits.

Required Skills:

Proven experience in administrative roles, preferably within a museum or cultural institution.

Strong organizational abilities to manage multiple tasks and priorities in a dynamic museum environment.

Excellent communication skills, both verbal and written, for interacting with diverse stakeholders.

Proficiency in office software (Notion, Google Workspace, etc.) for document management, spreadsheet analysis, and database entry.

Attention to detail and accuracy in maintaining records, managing databases, and handling confidential information.

Flexibility and adaptability to meet deadlines while supporting various museum activities and projects.

Customer service orientation with a friendly and welcoming demeanor for engaging with museum visitors and stakeholders.

Qualifications:

Language Required: English, fluency in French and/or Spanish is an asset but not required.

Level of Education: Post-Secondary is the minimum. Open to students.
